Letter to Council: Council Procedures
Monash City Council Civic Centre 293 Springvale Road Glen Waverley, 3150
Attn: Mr Nick Andrianis Manager Corporate Governance
Dear Mr Andrianis,
Re Council Minutes
I am a regular attendee at Council meetings.
I am aware that written questions put to council are discussed at council meetings and written answers are provided to the questioner as well as a verbal response at the council meeting. These are surely a formal part of the council meeting.
Council meetings are minuted.
Why are questions and council’s answers to them not included in the council minutes?
Yours sincerely,
(Name withheld)
Council Response
Copies of the questions submitted and the answers given, if in written form, are attached to the formal Council meeting minutes. These are available for inspection during office hours at the Civic Centre. Copies of letters and responses will be attached to the minutes circulated in the Council’s five municipal Libraries.
Editorial Comment
The council response fails to answer a fundamental part of the question. "Why are questions and council’s answers to them not included in the council minutes?"
The answer does not acknowledge that the questions and answers are, as they should be, a formal part of the council meeting that should be circulated with the minutes. Council meeting minutes are more widely available than at the Civic Centre and the five municipal libraries. The question and answers should be as accessible as the minutes themselves and through the same media. Not to make questions and answers equally available gives the impression that council lacks transparency.
